Overall Purpose of Job

 

Your responsibility as the Reporting Administrator will be to develop and administer the reporting requirements that support our Facilities Management Operation and the needs of the Star Pubs & Bars Client and our Contractual Obligations. You will be involved in the planning and development of the reporting function, enhancing and modifying our client reporting as well as in troubleshooting, amending and confirming acceptance with the client of their reporting requirements.

 

You'll ensure that:

 

  • The contractual reporting commitments are met or exceeded.
  • A sound visual representation of data is available on time and to quality requirements
  • A regular review of data and reporting requirements is undertaken and remedial actions implemented
  • Data and reports are accurate and available to support business needs including analysis of jobs, incidents and positive changes.

 

Working hours

 

Working hours are usually 40 hours a week Monday to Friday and to suit the needs of the client as required.

 

Main Duties, Responsibilities & Accountabilities

 

As Reporting Administrator, you'll need to:

 

  • Establish the needs of users, contractual obligations and future developments and provide regular reports to meet these needs
  • Maintain data and reporting standards, including adherence to the Data Protection Act
  • Collate statistics against Key Performance Indicators in the required timescales, frequency’s and to meet on-demand deadlines, ensuring reports show accurate and up to date performance
  • Submit reports against perquisite reports and adaptation of reports to meet client / operational needs
  • Provide visual demonstration through reports of performance
  • Present reports and data in formats suitable of the audience including client and internal stakeholders
  • Assist with implementation of actions and other activities to remedy root cause of failures, resourcing and training needs
  • Liaise with operational and technical data teams to describe reporting output requirements

 

Desired Knowledge, Skills and Experience

 

You will need to demonstrate:

 

  • Excellent Microsoft Excel skills including pivot tables and formulas
  • Awareness of systems used to generate and present data, reports and process jobs
  • Awareness and use of CAFM or similar maintenance and task management systems and their reporting tools,
  • Good understanding of tabular data structures
  • Ability to review requests and advise on reporting output requirements
  • Good written communication skills
  • Problem-solving and good analytical skills
  • Communication, teamwork and negotiation skills
  • Ability to work to tight deadlines under pressure
  • Good organisational skills
  • Flexibility and adaptability
  • The ability to create and maintain strong working relationships with colleagues and customers
